Instructions for Authors of Accepted Papers

The following instructions describe the steps required for authors of accepted papers.

Step 1. Incorporate reviewers’ feedback and follow formatting guidelines

  • Authors must ensure that all reviewers’ comments have been fully addressed in the final manuscript.
  • Revisions must comply with the IEEE EAIS 2026 standards and formatting guidelines. In particular:
    • All documents must be formatted in accordance with the IEEE conference style, for which templates are available on the IEEE website.
    • Papers should not exceed 8 pages plus at most 2 pages over-length with extra charge.
  • Note that the following steps must be completed even if no changes were requested by the reviewers.

Step 2. Generate the final manuscript with IEEE PDF eXpress

  • Proofread your source document thoroughly to confirm that it will require no revision. Then, please process your document through PDF eXpress. Ensure you obtain an IEEE Xplore-compatible PDF of your paper.

Creating your PDF eXpress Account

Log in to the IEEE PDF eXpress® site

  • First-time users should do the following:
    1. Create Account
    2. Enter the following:
      1. 69050X for the Conference ID
      2. your email address
      3. a password
    3. Continue to enter information as prompted.

    An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

  • Previous users of PDF eXpress need to follow the above steps but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

Contacting PDF eXpress Support

Access the IEEE Support Center for IEEE PDF eXpress. If you do not find an answer to your question on the IEEE Support Center, please email PDFSupport@ieee.org.

Step 3. Upload the camera-ready: IEEE Xplore-compatible PDF

  • Upload the IEEE Xplore-compatible PDF, obtained through PDF eXpress, via EasyChair (“View Submission” → “Update file”, in the upper right menu). Do not modify the file or filename obtained through PDF eXpress. Note that only IEEE Xplore-compatible PDF obtained through PDF eXpress will be considered as valid camera-ready.

IMPORTANT: The final deadline for camera-ready submission is June 15, 2026

Step 4. Submit the copyright form

  • Accepted papers will be submitted for possible inclusion into IEEE Xplore subject to meeting IEEE Xplore’s scope and quality requirements. In order for your paper to be published in the conference proceedings, a signed IEEE Copyright Form must be submitted for each paper. EAIS 2026 has registered to use the IEEE Electronic Copyright (eCF) service.
  • Instructions for submitting the IEEE Electronic Copyright Form (eCF) will be sent by email.

Step 5. Register for the conference

  • At least one author must register for the conference to include the paper in the program and proceedings.
  • Instructions about registration are available on the Registration page.

Important notice

Note that an accepted paper will be included in the proceedings only if it is:

  • compliant with the IEEE conference style
  • validated through PDF eXpress
  • accompanied by a completed IEEE Copyright Transfer Form
  • covered by a Registration (see details on the Registration Page)
  • presented on-site at the conference
